Our role

Guest management, project coordination, event logistics

The challenge

FMO is an annual international event that brings together journalists, academics, and politicians, requiring collaboration between various agencies across Europe. Within this collaboration, LA Click is responsible for guest management and communication, real-time data tracking, on-site guest registration, live streaming activities, and reporting. Over time, the events have grown, resulting in increased email traffic, a larger volume of guest data requiring careful handling, a larger event size, and a greater audience for the live streams.

The approach

We provided comprehensive event support for FMO, covering the following key areas:

  • Managing the event website, guest invitations, and follow-up emails to create a well-coordinated user journey with clear and timely communication.
  • Managing check-ins and printing name badges on-site to optimize the registration process and ensure a smooth operation.
  • Data management, including participant nominations, dashboards and attendance tracking, to provide valuable insights and simplify event processes.
  • Setting up and monitoring the live stream both for the event and for subsequent viewing, to ensure access and interactivity for all participants.
  • Collection and reporting of participant feedback after the event.

The results

Over the course of the events, we have made continuous improvements to our event management. First, we introduced user-friendly templates that facilitated collaboration between agencies. Next, we developed hourly updated dashboards to track key metrics more effectively. By migrating to a new website platform, we made live streaming smooth and seamless. Finally, we refined our email communication to keep attendees informed and engaged both before and after the event.

  • Support for 4 international events between 2022 and 2024.
  • Creation of 109 different new emails, including 3 quarterly newsletters on event topics.
  • A total of 7,470 invitations were sent out, resulting in an increase in on-site attendance of over 200% between events.
  • Each event had an average no-show rate of 25%.
  • Achieving 1,142 live and on-demand views of the event livestream with an average viewing time of 1 hour and 45 minutes.
  • Monitoring of 194 interactions during live streams from 103 unique participants.
  • Average participant satisfaction: 4.3 out of 5 points.
